Shared mailing lists
How to share a mailing list with colleagues in your organization, on any plan.
Any mailing list can be shared with colleagues in your organization, on every plan, including Free. Sharing is off by default for every new list. You turn it on per list, and you choose how much access colleagues get.
How sharing works
Open Mailing Lists, hover over a list you own, and click the share icon. Each click moves the list to the next state:
- Private — only you can see or send to this list. The default for every new list.
- Shared, send only — colleagues in your organization can select this list when sending a newsletter, but can't view or edit who's on it.
- Shared, can manage — colleagues can also view, add, and remove subscribers on this list.
Click again to cycle back to private. You need to invite teammates to your organization first for shared lists to reach anyone — see plan user limits for how many teammates each plan supports.
Common use cases
- A principal and an office coordinator both send to "All Families" — set to can manage so either can keep it up to date
- A district communications team maintains one list per school and all staff can send to their school's list — send only keeps each list's membership under one owner
- A team-taught class shares one parent list between two teachers — can manage so both can add new families
Subscriber management
Only a list set to can manage lets colleagues add or remove subscribers. On a send only list, subscriber management stays with the list's owner — colleagues can send to it but the subscriber view is hidden.
