Newsletter guides for art, music, theater, dance, and creative arts teachers in K-12

Arts and music communication does something that academic subject communication rarely achieves: it can create genuine excitement in families who have otherwise checked out. A good arts newsletter reminds parents that there is a part of school their child loves. The articles here cover the full scope of arts communication: concert and performance announcements that get families in seats, explanation letters for arts programs that parents did not experience themselves, and end-of-project newsletters that celebrate student work. There are also guides for arts teachers advocating for their programs in schools where funding is at risk, and for music directors managing the logistics of trips, performances, and instrument rentals.

Common questions

What should a school arts newsletter include?

What students are currently creating or performing, when and where the next performance is with a direct RSVP link if seating is limited, any materials families need to provide, and one piece of student work if your program allows sharing it. Arts families want to see the work, not just read about it.

How do I get families to come to school performances?

Send the invitation three weeks out, not three days. Include a personal note: "Your child has a speaking part" or "Your child has been working on this piece for six weeks." Specificity drives attendance. A general announcement about a winter concert gets less response than a targeted note that tells a parent their child is performing.

How do I communicate about arts program cuts or funding changes?

Directly, with specifics. "We are at risk of losing one teaching position in the arts department if the budget vote does not pass" is clearer than "our program faces challenges." Tell families what the outcome means for their child and what they can do. Arts families mobilize quickly when they understand the stakes.
