PTA Reflections Arts Program Newsletter: Creative Competition Guide

The National PTA Reflections program is one of the oldest and most accessible arts programs in American education, but many schools that belong to PTA organizations barely promote it. Students who could benefit from the recognition and creative challenge never enter because they did not know the program existed or did not understand what participation involves. A clear, early, enthusiastic Reflections newsletter is what changes that.
Announce the Theme the Day It Is Released
The National PTA releases the new Reflections theme each summer, typically in July or August. Send your launch newsletter within a week of the theme announcement, before school starts. Families who receive the theme early have more time to think about it and create without pressure. A student who starts thinking about the theme in September has a fundamentally different experience than one who hears about it two weeks before the deadline in November.
Explain All Six Categories
Many families assume Reflections is only for visual artists who can draw or paint. Your newsletter should describe all six categories in simple terms: dance choreography (an original dance, 5 minutes maximum, submitted as a recording), film production (an original short film, 4 minutes maximum), literature (an original poem, story, or script, up to 2,000 words), music composition (an original piece with a written score and recording), photography (one original photograph), and visual arts (any 2D or 3D original artwork). When families see that writing a poem or taking a photograph qualifies, the field of potential participants expands dramatically.
A Sample Reflections Launch Newsletter
Here is a template for your launch communication:
"PTA Reflections 2025-26 is Now Open -- This year's theme is: '[Annual Theme].' Any student from kindergarten through 12th grade may enter in up to six categories: visual arts, photography, literature, music composition, dance choreography, and film production. Your entry must be original, reflect the theme, and be submitted by our school deadline: Friday, November 14. Entries advance from our school to the state level and potentially to the national competition. Participation certificates for everyone. Awards for outstanding entries. Entry forms and full submission guidelines at westlakePTA.org/reflections. Questions? Email reflections@westlakePTA.org or see Ms. Patel in Room 204. There is no cost to enter. Every student has something to say. We want to hear it."
Host a Reflections Information Night
A 30-minute information evening where the Reflections chair explains the program, shows examples from past years, and answers questions from families dramatically increases participation. Promote this event in your launch newsletter. Keep it accessible: a school night, childcare if possible, and a specific example of a past entry in each category shown on a projector. Students who see what a literary submission or a dance choreography entry looks like are less intimidated by the blank page.
Run a Celebration, Not Just a Competition
The Reflections judging event at the school level should feel like a celebration, not a contest. Display all entries, recognize all participants, and announce outstanding entries in a ceremony that makes every student who participated feel proud. The competition element matters less than the message your newsletter and your event communicate: creating something original and sharing it is an achievement worth celebrating regardless of which entries advance.
Share State and National Results
When school entries advance to the state level, send a newsletter celebrating the students who advanced. If an entry reaches national recognition, make that a major community celebration. Students who achieve recognition at the state or national level are extraordinary ambassadors for your school's PTA program, and the visibility of their success motivates the next generation of Reflections participants. "Three of our entries advanced to state judging. Two have been named Outstanding Interpretation at the state level. One entry is headed to the National PTA competition."
Make the Special Artist Division Visible
The Reflections program has a Special Artist division for students who receive special education services. Many schools do not know this division exists or do not actively recruit for it. Your newsletter should explicitly mention the Special Artist division by name, explain that it provides an age-appropriate category structure for students with disabilities, and invite special education teachers to help their students participate. Inclusion in arts recognition matters enormously for students who are often excluded from competitive programs.

Frequently asked questions
What is the National PTA Reflections program?
The PTA Reflections program is a national arts recognition program that invites students from kindergarten through grade 12 to create original works of art in response to an annual theme. Students can submit in six categories: dance choreography, film production, literature, music composition, photography, and visual arts. Entries are judged at the local, state, and national levels, with outstanding entries advancing to each level. The program has run annually since 1969.
What should a Reflections program launch newsletter include?
The current year's theme, the six participation categories with a brief description of each, the grade divisions (primary, intermediate, middle school, high school, special artist), submission requirements for each category, the school-level submission deadline, where to submit, who to contact with questions, and information about how entries advance from the school level to state and national. Including sample themes from past years helps families understand the creative breadth of the program.
How do you encourage participation from students who do not consider themselves artists?
The Reflections theme is intentionally broad and open to interpretation. A newsletter that shows the range of interpretations from past years -- a photograph, a poem, a short film, a dance -- demonstrates that 'artist' is not a required identity to participate. Language that says 'any student who has something to say about this year's theme is eligible' removes the barrier of self-selection that keeps many students from entering.
What are the submission requirements for the most common Reflections categories?
Visual arts submissions are typically 2D or 3D original works of any medium. Photography submissions are single original photographs. Literature entries are original written works (poems, stories, scripts) up to 2,000 words. Music composition entries are recorded original compositions with a written score. Film production entries are original short films under four minutes. All submissions must be the student's original work and must reflect the annual theme. Specific requirements vary by year, so always check the current National PTA guidelines.
Can Daystage help PTAs communicate the Reflections program to school families?
Yes. Daystage lets you send a Reflections launch newsletter with the theme, categories, and deadlines, then follow up with a reminder two weeks before the school submission deadline. After the local judging, you can send a celebration newsletter recognizing all participants and announcing which entries advance to the state level. The platform archives all newsletters so the Reflections chair has a complete communication record for future reference.
