Lead With the Annual Theme
Every Reflections newsletter should open with the current year's theme, prominently and visually if possible. The theme is the creative prompt that every student work responds to, so families who do not know it cannot help their children engage with the program. Spell out the theme clearly, explain what it means in your own words, and give one or two examples of how a student might interpret it across different arts categories.
Explain All Six Arts Categories
Many families assume Reflections is only for visual artists. It is not. Musical composition, film production, literature, photography, and dance choreography are all eligible categories. Families who learn this in your newsletter may realize their child has a relevant talent they had not considered. A brief, clear description of each category and what a valid entry looks like removes the most common barrier to participation: not knowing where to start.
State the Submission Deadline Twice
Put the deadline in the headline of the Reflections section and in the body of the text. 'All entries must be submitted by November 1. Late entries cannot be accepted.' Families need to see it twice to internalize it. Also note the date the showcase or recognition event will take place, so participating families can mark their calendar before entries are even submitted.
Remove the Barriers to Entry
The schools with highest Reflections participation rates are the ones that make the process as easy as possible. Provide take-home entry forms. Clarify that entries do not need professional production quality. Note that students with special needs are fully eligible and may compete in a special artist division. If your PTA can provide basic materials for the visual arts category to families who need them, say so in the newsletter.
Announce Advancing Entries Promptly
When local entries are judged and winners advance to the district or state level, announce it immediately in your newsletter. Name every student whose work advanced. This recognition is a powerful motivator for next year's program. Students who see their peers named in the PTA newsletter, regardless of whether they placed nationally, are more likely to participate the following year.
