September Pta President Newsletter: What to Communicate

August set the stage. September builds on it. The families who joined in August need to feel like their decision mattered. The families who didn't join yet need a reason to change their mind. And the PTA's first major event of the year is probably weeks away. This newsletter has work to do.
Membership Update: Where You Stand
Open with the numbers. Transparency builds trust and motivation: "As of September 10, 147 Jefferson Elementary families have joined the PTA. Our goal is 200. That puts us 53 families away from our full program budget. Here is what that difference means in real terms: at 200 members, we fund the full teacher classroom grant program. At 147 members, we fund about 73% of it. Every new member this month closes that gap. Join at the link below."
First Event Preview and Volunteer Recruitment
September's most actionable content is the preview of the first major event with specific volunteer needs. "Welcome Night is September 18 at 6 PM in the gym. We need: 4 greeters from 5:30 to 7:30 PM, 2 sign-in table helpers from 5:30 to 7:00 PM, 3 refreshment table volunteers from 5:45 to 7:45 PM, and 4 cleanup volunteers from 7:45 to 8:30 PM. That is 13 volunteers for a two-hour event. If you can be one of them, sign up at the link below. We've filled 7 spots. We need 6 more."
First PTA Meeting Announcement
Make the first meeting attendance easy: "First PTA Meeting of the year: Tuesday, September 23 at 6:30 PM in the library. Childcare is available for children under 8 in the multipurpose room (free, limited to 12 children, sign up at the link below). Agenda: 2027-28 budget review and approval (15 minutes). Fall event committee updates (10 minutes). Technology grant proposal vote (10 minutes). Q&A and discussion (15 minutes). We'll be done by 7:30. Come if you can."

Connecting New Families to the PTA Community
September is when new family onboarding either happens or gets lost in the shuffle. A dedicated paragraph for new families keeps the August welcome energy alive: "If you're new to Jefferson Elementary and haven't met anyone in the PTA yet, the Welcome Night on September 18 is your easiest entry point. No commitment required. Just come say hello. Bring your child if you can't find a sitter. We're a school community event, not a business meeting. If you want to connect with a specific family who lives near you, email me and I'll try to make a match."

Frequently asked questions
What should a PTA president communicate in September?
Report the August membership numbers honestly and use them to motivate additional sign-ups. Preview the first major event of the year. Follow up on volunteer recruitment with specific open slots. Announce the first PTA meeting date. Highlight any grants or donations the PTA has already secured. Keep the energy high from the August launch into actual momentum.
How do you keep the membership momentum from August going into September?
Report progress transparently and make the gap feel closable. If you needed 200 members and you have 120, don't just say 'we still need members.' Say '120 families have joined. We are 80 families from our program budget goal. At our current rate, we'll hit it by September 15.' Specific progress with a concrete target motivates action more than generic appeals.
What is the ideal format for announcing the first PTA meeting of the year?
Include the date, time, location, and what will be discussed. Offer a childcare note if the school provides it. Keep the meeting agenda visible: 'We'll cover the fall event calendar, introduce committee chairs, vote on the technology grant proposal, and end by 7:45.' Families who know what will happen at a meeting are more likely to attend than those who face a blank agenda.
How do you recruit volunteers in September who didn't sign up in August?
Make it low-commitment and specific. Rather than a general call for volunteers, post the specific slots that are unfilled: 'We still need 3 people for book fair setup on October 19 from 2 to 5 PM. We need 2 cashiers for book fair October 20 through 24, one hour shifts available.' Families who missed the August push can say yes to a specific, bounded commitment.
Does Daystage support PTA newsletters with event registration links?
Yes. Daystage newsletters support embedded links throughout the content, so you can link directly to a membership sign-up page, a volunteer signup form, or an event registration system in the same newsletter. Families who read the newsletter on their phone can tap a link and take action without switching to a different app or searching for a URL.
