August Pta President Newsletter: What to Communicate

By Adi Ackerman·May 12, 2026·6 min read

PTA leadership team reviewing August newsletter content and event calendar for school year

August is the most important month in the PTA calendar for recruitment. Families who join and volunteer in the first two weeks of school stay involved for the entire year. Families who don't engage in August are statistically unlikely to join later. The August newsletter is your best annual opportunity to expand your active membership.

Introduce the Board

Families are more likely to engage with people than institutions. The August newsletter should introduce the PTA board with first names, a sentence about why each person is involved, and their specific role. "President: Maria Chen. Maria has two children at Jefferson Elementary and joined the PTA three years ago to organize the spring auction. She took over as president this year because she wanted to expand family engagement for families who work during school hours. Treasurer: David Park. David is a CPA and has two children in 2nd and 4th grade. He joined the PTA specifically to make sure the financial reports are clear and accessible to all families."

The Membership Drive

The membership ask should be specific and compelling: "Membership is $25 per family for the year. That $25, multiplied by our target of 200 families, funds: $4,000 toward classroom supplies for teachers who spend their own money in the first weeks of school, $2,000 for our outdoor learning garden, $1,500 for field trip subsidy for families who need financial support, and $1,000 for staff appreciation events. Every member also gets first access to ticket sales for the fall carnival and spring gala." Then include a direct link to the membership form.

Volunteer Opportunities at Every Level

Make it impossible for a family to say "I can't commit to that much": "There is a role here for every schedule. One hour a month: join our classroom reading volunteers program. One day a season: help set up and run one of our three major events. One weekend in spring: chair a booth at the spring carnival. Ongoing: serve on a committee that meets twice a month for six months. Year-round: lead a committee and attend monthly board meetings. New families especially: we need orientation helpers on the first day of school. Two hours, one morning, a huge impact."

Hello Jefferson Elementary families,

Welcome to the 2027-28 school year. I'm Maria Chen, PTA president, and I'm thrilled to be writing to you at the start of what is going to be a great year for our school community.

One ask right at the top: join the PTA. It takes two minutes at the link below. Your membership funds art supplies, field trips, and teacher grants that directly reach your child's classroom. We need 200 members to hit our program budget this year. We have 47 so far. You'd be number 48.

This year's events (full calendar below): Welcome Night: September 5. Fall Book Fair: October 20-24. School Carnival: November 8. Holiday Staff Appreciation: December 19. Spring Auction: March 14. Science Fair Support: April 3. Year-End Party: June 13.

Volunteer for one event: [signup link]. Every event needs 10 to 15 volunteers. It is genuinely fun. The people you meet volunteering at the book fair are still your friends at the spring auction.

The Full-Year Calendar

Publish the complete event calendar in the August newsletter. Families who see the full year are more likely to claim their preferred volunteer slots early and less likely to be surprised by events that conflict with their schedules. A calendar that families can add to their phones or print and hang on the refrigerator becomes a reference document that keeps the PTA visible all year long.

For New Families Especially

Include a paragraph specifically for families who are new to the school and may feel intimidated about getting involved: "If you're new to Jefferson Elementary this year, the PTA is the fastest way to feel at home. Our new family welcome coordinator, James Torres, runs a small-group coffee for new families in the second week of school. No commitment required. Just a chance to meet other new families and learn how the school works from people who have been here a few years. Sign up at the link below."

Frequently asked questions

What should a PTA president communicate in August?

August is the time to launch the membership drive, open volunteer sign-ups, publish the full-year event calendar, introduce the board, and explain how families can get involved at every commitment level from an hour a month to leading a committee. August sets the enrollment and engagement tone for the entire year.

When should the August PTA newsletter be sent?

Send it the same week as or immediately after the school's back-to-school communication. Families are in school-engagement mode in August and are more receptive to joining and volunteering during this window than at any other time of year. A newsletter that arrives two weeks before school starts catches families during their highest annual motivation to participate.

How do you make the PTA membership pitch feel genuine rather than transactional?

Lead with what membership funds actually pay for, not with the dues amount. If PTA funding pays for art supplies, field trips, technology equipment, or staff appreciation events, say that specifically. 'Your $25 membership helps fund the $8,000 we contribute to the art program budget each year' is more compelling than a general invitation to join.

What volunteer opportunities should be listed in an August newsletter?

Range from low-commitment to high-commitment so families at every capacity level can find an entry point. One-time: set up for the fall carnival. Recurring monthly: help at lunch on the last Friday of each month. Seasonal: room parent for holiday parties. Committee lead: chair the book fair or spring fundraiser. A clear range signals that every level of participation is valued.

Can Daystage support PTA newsletters sent to a large school community?

Yes. Daystage is used by PTA and PTO organizations across all school sizes. The platform supports large mailing lists, tracks open rates so you can see how many families engaged with the August newsletter, and makes it easy to include signup links, event registration buttons, and a full-year calendar in a visually clean format.
