Spirit Week Newsletter Template for Schools

Sample spirit week newsletter with each day's dress code and activity highlighted

Spirit week is one of the most anticipated weeks of the school year. It is also one of the highest-confusion weeks for families. A newsletter sent with enough lead time and clear information about each day's theme prevents the "what is my child supposed to wear today?" confusion that otherwise starts at 7am every morning of the week.

The spirit week newsletter template

Use this structure as the starting point for your school's spirit week communication:

Subject line: [School Name] Spirit Week is [dates] - Daily themes inside

Opening: Spirit Week kicks off [start date] and runs through [end date]. Here is the schedule for the week along with everything families need to know to participate.

Daily schedule section:

  • Monday, [date]: [Theme name] - [Brief description of what to wear or bring. One sentence.]
  • Tuesday, [date]: [Theme name] - [Brief description.]
  • Wednesday, [date]: [Theme name] - [Brief description.]
  • Thursday, [date]: [Theme name] - [Brief description.]
  • Friday, [date]: [Theme name] - [Brief description. This is typically the biggest day.]

Spirit week theme ideas that work for all ages

If your school is still finalizing themes, these options are accessible and popular across grade levels:

  • Pajama Day (wear your pajamas to school)
  • Decade Day (choose any decade from the past century)
  • Career Day (dress as what you want to be when you grow up)
  • School Colors Day (wear the school's colors)
  • Twin Day (coordinate with a friend)
  • Jersey Day (wear a sports jersey of any team or athlete)
  • Crazy Sock Day (no costume required, just colorful socks)

Important notes to include

Every spirit week newsletter should address three practical questions before families have to ask:

First, participation is optional but encouraged. Students who do not participate on any day should not feel left out. If a student is not able to participate for any reason, that is fine.

Second, dress code still applies. Spirit week themes work within the existing dress code. Anything that would not be permitted on a normal school day is not permitted during spirit week.

Third, what to do if themes are not accessible. If a theme requires something a family does not have, the school colors or regular school attire is always a valid choice for any day.

The spirit week reminder

Send a brief reminder the Friday before spirit week begins. List the weekly schedule in condensed form. Families who received the original newsletter will appreciate the refresher. Families who missed or forgot the original newsletter will be grateful to have a chance to prepare.

Frequently asked questions

When should a school send the spirit week newsletter?

Send the spirit week newsletter at least one week before the week begins, and ideally two weeks in advance. Dress-up days require preparation: families need time to find or purchase costumes, props, or themed clothing. A newsletter sent the Friday before spirit week begins gives families only a weekend, which is often not enough.

What should the spirit week newsletter always include?

The daily theme for each day of spirit week, what counts as appropriate dress (and what does not), any activities or events tied to each day beyond dress code, whether items from home are needed, and a note about participation being optional but encouraged. Clear boundaries around appropriate dress save teachers and administrators time on the actual week.

How can the spirit week newsletter encourage students who cannot afford costumes or themed clothing?

Phrase each day's theme inclusively. 'Wear your favorite color' is accessible. 'Dress as your favorite movie character in full costume' requires spending money. For schools with significant economic diversity, design at least half the spirit week themes around items students already own or can create with what is at home.

Should spirit week newsletters be sent school-wide or by grade?

School-wide is typical for spirit week since the event involves the whole school. Grade-level modifications (what is age-appropriate for kindergartners vs. eighth graders for a costume day) can be noted within the same newsletter. Separate grade-level newsletters are unnecessary unless the events are genuinely different for different age groups.

How does Daystage make spirit week communication easier?

Daystage lets you build the spirit week newsletter once, schedule it to send at the right time, and quickly send a reminder the day before spirit week begins without reformatting. The scheduling feature is particularly useful during the busy planning phase before the event.
