August Athletic Director Newsletter: What to Communicate

The August athletic director newsletter is one of the most time-sensitive communications of the year. Athletes who miss physical appointments or clearance deadlines miss practices and tryouts. A newsletter that gives families clear, specific information weeks before the season starts prevents the most common early-season problems.
Clearance Requirements and Deadlines
This section should be the first thing families see and should be formatted for easy reference: "All student athletes must have the following documents on file before participating in any practice or tryout. Missing any document results in exclusion from participation until resolved.
Sports physical: Required within 12 months of the first day of practice. School physicals are available at the district health center August 10 and 17, 8 AM to 2 PM, no appointment needed.
Parent consent form: Available on the athletic department website and in the main office. Must be signed and returned to the athletic office by August 25.
Concussion awareness form: Student and parent must both sign. Available at the link below.
Insurance verification: Copy of insurance card, or signed district waiver if uninsured. Deadline: August 25.
Emergency medical form: Available on the athletics page. Completed form must be on file before first practice."
Fall Sports Schedule Overview
List every fall sport with its start date, tryout date if applicable, and head coach contact: "Fall 2027 Sports Schedule: Football - First practice August 14. No tryouts, all athletes welcome. Coach Torres: storres@jefferson.edu. Cross Country - First practice August 16. No tryouts. Coach Martinez: amartinez@jefferson.edu. Girls Volleyball - Tryouts August 18 and 19. Jefferson High Athletics - August 2027
Fall sports season begins in two weeks. Here is everything families of student athletes need to know before August 25.
Physical deadline: August 24. Athletes without a current physical on file cannot participate in any practice or game. If your child's physical is from last September or later, you're fine. If it was before September 2026, schedule a new one now. Our school physical clinic is August 10 and 17 from 8 AM to 2 PM - walk-in, no appointment, cost is $20 (free with Medicaid). All other required documents are linked below and due August 25.
Eligibility reminder: Athletes must maintain a 2.0 GPA and 90% attendance to participate. Eligibility is checked every three weeks. An athlete who drops below 2.0 is ineligible for games (not practice) until the next three-week check shows improvement. This policy is non-negotiable. If your child had academic challenges last year, now is the time to talk to their teachers about a plan.
Questions? Athletic Director Ms. Rodriguez: drodriguez@jefferson.edu | 555-0300 ext 8. Open office hours: Monday and Wednesday, 3:00 to 4:30 PM.
Eligibility Rules Explained
A dedicated section explaining eligibility prevents the mid-season conversations that athletic directors dread most. Be explicit: the GPA threshold, whether weighted or unweighted GPA applies, the attendance standard, how transfers are handled for eligibility purposes, and what the appeal process looks like if a family believes an eligibility ruling is incorrect. Families who understand these rules in August are more motivated to monitor their child's academics proactively rather than being surprised when their athlete is declared ineligible before a playoff game.
Parent and Family Code of Conduct
The August newsletter is the right time to set expectations for spectator behavior before the first game of the season. A brief, direct statement is more effective than a long policy document: "Our athletic program expects family members to model sportsmanship at all events. Verbal abuse directed at officials, opposing players, or our own coaches will result in removal from the facility. A family member who is removed from a game site may be banned from future events at the athletic director's discretion. This policy applies to all sports, all levels." Setting this expectation in writing before the season starts prevents the most common family behavior problems during competitive games.

Frequently asked questions
What should an athletic director communicate in August?
Physical examination and clearance requirements and deadlines, fall sports tryout and practice schedules, eligibility requirements including GPA and attendance standards, equipment and uniform logistics, transportation policies for away games, code of conduct expectations for athletes and families, and how to contact coaches for each sport.
When should the August athletic director newsletter be sent?
At least two weeks before fall sports begin, ideally three. Athletes who need physicals, updated insurance cards, or other clearance documents need time to schedule appointments. An August newsletter sent too close to the first practice leaves families scrambling and can result in athletes missing early practices or tryouts.
What are the most common clearance documents students need before athletic participation?
A current sports physical examination (most states require one within 12 months). A signed parent consent and liability form. Proof of valid health insurance or a school district insurance waiver. Completed concussion awareness form signed by both student and parent. Emergency medical authorization form. The newsletter should list all required documents and the submission deadline clearly.
How do you communicate eligibility requirements in a way that families understand?
Be specific about the grade point average and attendance standards required for athletic eligibility at your school. State whether ineligibility is determined per quarter, semester, or grading period. Explain what happens when a student becomes academically ineligible: are they suspended from games only or practice as well? When can they be reinstated? Families who understand eligibility rules in August have fewer surprises mid-season.
Can Daystage support an athletic director newsletter sent to a large athletic program family base?
Yes. An athletic director newsletter sent to all sports families across multiple programs benefits from Daystage's list management and professional formatting. The platform handles large lists efficiently and lets the athletic director track open rates to verify that important clearance deadline information is reaching families.
